General Conduct
Clients and staff are expected to always treat one another with respect and professionalism.
Cleanliness
Clients are asked to wipe down equipment after use.
Please remove shoes and place them on the shoe rack at the front door and then head to the cloakroom to store belongings before class.
Mobile phones and content
Mobile phones must be switched off and stored away before class begins to avoid distractions and to ensure a peaceful environment.
No videos are permitted during class to protect the privacy of all participants.
Videos and pictures for Instagram or personal use may be taken before or after class, but must be completed before the next session begins.
Photos and videos should never include other clients in the background without their knowledge and consent.
Bookings and Cancellations
Bookings must be made prior to class through our website or booking app.
Waivers are required before participating in any session to meet health and safety, as well as insurance standards.
You may cancel a class up to 12 hours prior to its start time. Late cancellations will result in the loss of one class credit.
Repeated no-shows may be subject to further penalties, including restricted booking access.
Payments & Refunds
All classes and packages must be prepaid. Class packs are non-refundable, non-transferable, and expire after a set period. No refunds for missed classes,
change of mind, or unused sessions- you have 12 hours prior to the sessions to cancel classes.
Grip Socks and Pilates mats
To ensure hygiene and customer satisfaction, our grip socks and Pilates mats are subject to the following policy.
Refunds & Exchanges:
Products may be exchanged or refunded only if unworn, unused, and in their original packaging with tags intact.
Timeframe: Requests must be made within 28 days of purchase, accompanied by a valid receipt.
Faulty Items: If grip socks or mats are defective or damaged upon receipt, we will offer an exchange or full refund.
Non-Refundable Situations: We are unable to accept returns for products that have been worn, washed, or damaged after purchase.
Studio Vouchers
Gift vouchers purchased at Earthy-Pilates are governed by the following terms:
Validity: Vouchers are valid for 12 months from the date of purchase and can be used towards any class, package, or products.
Non-Refundable: Vouchers are non-refundable and cannot be exchanged for cash.
Transferable: Vouchers may be transferred to another individual via the coupon code- noting the code can only be used once. Holders are asked to notify the studio by email before transferring. This is to guarantee the holder’s awareness of transfer, and to update the details of the new holder.
Lost Vouchers: An email will be sent with an individual coupon code for a discount on services and products. If the participant has not yet received an email with the Coupon code, please notify the studio immediately.

Promotions & Gift Vouchers
Promotional offers and gift vouchers are non-refundable and subject to expiry dates. Customer are sent a coupon code via email following the purchase of the voucher. This is an individual code- Referral credits will be offered but are not redeemable for cash.
Late Entries
Please arrive at least 10 minutes early to settle in.
The studio door will be locked when the session begins to avoid disrupting class, especially as all sessions start with breathing exercises. Creating a
calm environment is essential, and late arrivals make it difficult for others to mentally switch off.
Health and Safety
Clients must inform instructors of any injuries or medical conditions prior to class.
All equipment must be treated with care and respect.
Please always follow instructor cues to ensure your safety on the Reformer machine.
Improper or unsafe use of equipment may result in being asked to leave the class.
Pregnant and injured clients
To ensure the safety of pregnant and injured clients, and those over 70 years old - separate packages are in place for Physiotherapy and prenatal specific classes. Unfortunately pregnant clients and those badly injured cannot participate in the general classes. Those recovering from injury can join the general classes once given the go-ahead from the physiotherapist.
Age Restrictions
Minimum age to attend classes is 16 years. Clients under 18 must have parental consent. It is advised that client over 70 years participate in classes
where the Physiotherapist is present.
Instructors and Staff
All instructors are qualified in Reformer Pilates and continue to advance their professional training.
The studio reserves the right to refuse service to anyone who violates studio policies or behaves inappropriately.
Membership Suspension and Changes
Memberships may be placed on medical hold if proper documentation is provided.
Any updates to studio policies will be communicated via email or posted in-studio.
